Voice notes
Recording with no agent present and no connection needed, then asking for a transcript and summary.
A voice note is a recording you make on your own, with no agent listening. It is the thing to reach for when you have just walked out of a room and want to get your thoughts down before you forget them.
Nothing leaves the phone until you ask for it. Recording works with no signal, and the audio stays on the device until you either ask for analysis or link the note to a record.
Recording
Two ways in: the Voice Note button on a record, which fills in the record and agent for you, or the voice notes list, which starts an unlinked recording.
While you record:
- A bar meter moves with your voice, so you can see it is picking you up.
- Pause and resume keep one recording rather than starting a second. The timer counts the total.
- Minimising the recorder leaves a bar at the top of the screen with the elapsed time, pause and stop, so you can look something up mid-recording.
Recording is blocked while a call is live. Starting a call saves whatever you were recording first, so you never lose it to a phone call.
The three states
| State | What it means |
|---|---|
| Recorded | On the phone only. Offers an Analyse button. |
| Analysing | Uploading, transcribing and summarising. |
| Analysed | Summary and transcript are ready to read. |
A note in the analysing state updates itself while you watch, and stops checking once it settles.
The note screen
Who recorded it and when, a player you can scrub through, the record and agent it is linked to, the summary, and the transcript. The transcript opens full screen when you want to read the whole thing.
From here you can:
- Rename it. If it has already been analysed, the new name is saved server-side too, so colleagues see it.
- Share the audio file through your phone's share sheet.
- Link it to a record and agent, or unlink it.
- Delete it, which removes both the recording on the phone and the copy on the server.
Linking an already analysed note to a record does not re-transcribe it. Only the record link is added.
Finding them again
The voice notes list groups them by recency with a play button on each row, and a long press gives you Analyse, attach to a record, rename and delete. The same notes also appear in History under the Voice Notes filter.
Notes recorded on another phone show up here once the app has caught up with the server. Recordings you have not analysed yet stay only on the phone that made them, which is worth knowing before you reset a device.
