Roles and access
What owners, admins, users and guests can do in the app, and how the app behaves when you lack a permission.
Your role is set per organization in the web console, so you can be an owner in one organization and a user in another. Switching organization can change what you see.
| Capability | Owner | Admin | User | Guest |
|---|---|---|---|---|
| Post to the feed | Yes | Yes | Yes | No |
| Pin, edit or remove other people's posts | Yes | Yes | No | No |
| Create research reports | Yes | Yes | No | No |
| See the Automations tab | Yes | Yes | Yes | No |
| Answer an approval addressed to them | Yes | Yes | Yes | No |
| Read the feed, records and sessions | Yes | Yes | Yes | Limited |
Everything else, including starting calls and chats, is checked against your role on the server when you use it. On top of your role, individual records are granted to you or to a team you belong to; see Who can see a record.
Automations are deliberately open
Users get the Automations tab on the phone even though the web sidebar hides its entry from them. An approver can be any member of the organization, and an approval that blocks an automation should be answerable by whoever was asked, from wherever they are.
How the app behaves
The app hides what your role cannot use rather than showing you a button that fails. The post button on Home does not appear for guests, the + on the reports list only appears if you can create one, and the Automations tab is dropped from the bar for guests entirely.
Where a list is access-controlled and might be refused, the app falls back rather than erroring. Picking members for a post audience is the clearest example: if you cannot list the organization's members, the picker offers you yourself instead of showing a broken screen.
Guests
A guest can see the organization and read conversations, and nothing else: no posting, no automations, no approvals. It is the role for someone who needs visibility without the ability to add anything.
Changing a role
Roles are managed in the web console under organization settings. There is no way to change your own or anyone else's role from the phone.
